Vendor Booth at Sponsor Fair

 

New for 2018: We are offering an Early Bird Rate of $450 for those who pay their booth fee in full by May 31, 2018.

The Sponsor Fair will be open Thursday-Saturday, Oct. 4-6th. The Finale will be held on Saturday in the Covered Arena followed by a party which will be held in the Sponsor Fair with dinner and entertainment. There will also be a big arena screen in the Covered Arena (like the one they have during Rolex, if you've been) that will broadcast the other disciplines. We are adding this to create a more spectator-friendly event. Commercials can also be purchased to play on the Arena Screen. 

Booth Cost: $500 for businesses (this price includes the $50 Kentucky Horse Park fee). Businesses/organizations who are including a vendor booth as part of a larger sponsorship package do not need to complete the vendor application and their booth fee is included in the sponsorship invoice, unless otherwise specified. Businesses purchasing a vendor booth ONLY can pay via credit card through PayPal once the vendor application is submitted. Booth space is offered for $100 for non-profit Thoroughbred placement organizations (which includes the $50 Kentucky Horse Park fee). If desired, tables, chairs, electricity, wi-fi, and/or pipe and drapes will have to be purchased directly through LEXPO (not RRP). Size: 10’x10’ If more space is needed, contact Leah. There is an opportunity for outdoor booths, contact Leah for information.

Booth Assignment:  Booth space will be numbered and assigned.  Booth spaces will be assigned on a first come, first serve basis. Sponsors can request a specific booth space, but RRP reserves the right to move or rearrange booths as needed. Click here to view booth availability.

Badges: Each vendor booth comes with two vendor badges for entry. Additional badges for booth staff are available at $10 each and will need to be purchased online through the 2018 Sponsor Fair Application, or at the Info Booth on-site. Badges will be included in the vendor packet which can be retrieved on-site at the Info Booth in the Covered Arena at the Kentucky Horse Park. Packets will not be mailed.  

Parking: Each vendor will receive one pass. Parking passes will be included in your packet which should be picked up at the Info Booth in the Covered Arena. To get access to the KY Horse Park prior to receiving your packet, please give the guard at the entrance your company name (which will be on a list) and you will be let through at no charge. Additional passes are available at $15 each and will need to be purchased online through the 2018 Sponsor Fair Application. See map below for vendor parking lot location. 

Set- Up:  Booth set up is on Wednesday, Oct. 3, ONLY from 9:00am–5:00pm.

Break Down: You can start breaking down your booth on Sunday, Oct. 7 at any time

Show hours:

Thursday Oct. 4th – 9:00am–5:00pm 

Friday Oct. 5th – 9:00am–5:00pm

Saturday Oct. 6th9:00am–8:00pm (The Finale usually ends at 6pm. If we’re going to have an evening event, we will let you know so you may keep your booth open.)

Location and Directions: The event is being held at The Kentucky Horse Park in Lexington, KY. You need to use the main entrance at 4089 IRON WORKS PARKWAY, LEXINGTON, KENTUCKY 40511.  This year’s event is being held in the Covered Arena. Sponsor Fair booths are located along the apron of the Covered Arena. There are ramps for loading/unloading. See map below.

Shipping: You cannot ship your booth materials to the Kentucky Horse Park. You will have to arrange shipping and delivery through Lexpo. Contact Leah for information.

Event Program Sponsorship:  This year's event program is also the Fall issue of Off-Track Thoroughbred Magazine. It will be distributed at the Thoroughbred Makeover, mailed to RRP members and additional mailing lists. Increase your reach by sponsoring space in the magazine. Ad space closes Aug. 9th. Ad materials are due Aug. 23rd.
